Edit Employees Page

Within the Bbot Owner Panel, you have the ability to manage employee accounts. 

Employee Levels

  • Bartender/Server: Bartenders and servers have the same level equivalent; they are able to log into the Bbot tablet, move orders forward in the workflow process, search previous orders, and 86/68 menu items and modifiers.
  • Manager: Managers will have the same capabilities as servers and bartenders, but do have a few additions. Managers are able to refund orders, move orders backward in the workflow process, log into the owner panel, and change payment methods in the owner panel.
  • Owner: Owners have all the functions of a manager with one addition - owners are able to change and add the Stripe account in the owner panel.

Adding an Employee

1. From the Owner Panel, click on 'Employees' to add, edit, or delete employees.

2. If you are part of a chain of restaurants that your employee works across, your employee's info can only be changed/edited on the account it was first created.

2a. - You will receive a prompt and a link to which account they were first created on. If they are not on an account yet you can link them to that account. This will carry over their login/pin info.

3.  To add an employee, click on the blue plus sign on the top right or for Quick Add you can simply fill in the form at the top of the table.

4. Enter the first and last name, email address, PIN (used to login to Bbot's tablet), and select the most appropriate title from the dropdown list provided. After entering in all the required information, click 'Save'.

***Note: If two employees have the same PIN then you will receive the message shown below at the top of the page. Once one of the PINs has been changed the message will disappear.

You can also randomize employee PINs as you create a new employee by clicking the circle icon within the PIN text entry box.

5. When a new employee is added, an email containing a link to set their password is automatically sent to the email address on file. 

6. Automatic Reports - You can opt in to have the report automatically emailed to certain employees by clicking the pencil icon next to the appropriate employee and then navigating to the Report Subscriptions tab in the pop-up and clicking Add Subscription.

From there, you can select which reports you would like that employee to receive as well as how often you would like to receive them.

Employees can subscribe to the following reports:

If a user is added under multiple accounts, you will need to create an alias email in order to receive reports from each account. For example, if the original user was added with support@bbot.menu, you will need to create an alias with support+downtown@bbot.menu or whatever the name of the other account you'd like to add the employee under. 

7. Once an employee has been added, you are able to edit their information by clicking on the edit pencil next to the employee's name. You are able to edit the First and Last Name fields, the pin, and the permissions level. If the email address has been entered incorrectly, you'll need to delete the employee and re-add them. 

Deleting an Employee

To delete an employee who's been added, click the box next to the name of the employee and then click the trash can icon. 

POS Integrations

If you are Toast or Omnivore integrated then you can map Bbot employees to employees within your respective integration. When you map orders to a specific employee, the order and any associated tips will be applied to that employee in your POS.

Toast: In the Toast Employee settings, you will need to make sure you've added a new employee called 'Bbot Admin' which can then be linked under the integration settings in the Bbot Owner Panel.

Once the employee has been linked, any order that is received through Bbot and injected into Toast will be visible under the Sales Summary report.

Omnivore: Before linking an employee in Bbot, you will need to make sure you've added Bbot Admin as a new employee in the POS. Once the Bbot employee has been added, you will be able to link that employee in the Omnivore integration settings. When an order is received through Bbot and injected into the POS via Omnivore, the sales and any associated tips will be mapped to the Bbot Admin employee in the POS.
