Creating Square Menus - Best Practices
Square Menu Terminology
- Menus - Top-level group that will be selected when linking with Bbot
- Categories - Similar to Menu Headings in Bbot; Below menus containing items
- Also used for Square reporting
- Display Group - Not recognized by Bbot; Only used for organizing items on the Square POS Terminal/App
- Items - Selectable ordering item
- Modifiers - Group of modifiers applied to an item. Can also be applied to all items within a category or menu
- Square uses “Modifier” to describe the group and the modifier itself
- Modifier Type - Determines what type and properties a Modifier has
- Variations - Similar to Size Pricing in Toast, a Modifier that allows different pricing
- Integration Setting will change how Bbot sees variations (modifier or item)
- Location - Selected from Bbot App Store Integration Tile
- Only one location can be used per integration
Editing Square Menu Items
- Item Type - Set during item creation
- Name - Item name displayed to Bbot and in POS/App
- Kitchen Facing Name - Differentiated name for Kitchen Tickets/KDS
- Description - Pulled directly into Bbot
- Image - Pulled directly into Bbot
- Actions
- View Stock History - Troubleshooting stock levels
- Duplicate - Copy the item and its properties
- Archive - Remove the item from the ordering menu, to be used again later
- Delete - Removes an item permanently from the Square backend
Categorization
- Square categories are representative of Bbot Menu Headers
- Selecting multiple categories will put the same item under multiple headers in Bbot
- Variations
- Add - Create a modifier/duplicate item with a different size and price
- Stock - Setting an item quantity for Square and Bbot (if integration setting is enabled)
- Quantity amount can also be added by going to “Manage Stock”
- Add to Menus
- Add the same item to multiple menus within Square without having to copy to a new item
- Modifiers > Edit
- Add and remove multiple already existing Modifiers to an item
- Create a new modifier to apply to an item
- Where it’s sold
- Visibility setting
- Must be enabled for Bbot to see item

Creating a Device Profile
Quick Access > Device Management
- Devices - Adding a Device
- Assign device upon creation
- KDS requires Square PLUS subscription
- Profiles > Device Profile - Apply device-level settings depending on use case
- Profiles can be created and assigned for one or multiple devices
Profiles > Printing Profile > Create New Profile
- Receipts - When setting up a receipt printer for Mx, set to print automatically
- Online Order Tickets - applicable to all Bbot orders
- This will be where Bbot printer settings are configured
- Always Automatically Print New Orders
- Ensure Categories are assigned correctly
- Other settings based on Mx preference
- Store Locations
- Make sure it matches location integrated with Bbot
- Assigning Devices to a Profile
- Select/Create the Profile
- Select in the list
- Edit assigned devices
- Assign Device
- Save
Assign a Device Profile
On the POS Hardware (or mobile app)
- Assigning Printers to a Profile
- Ensure printer is connected, if not connect printer with IP address/Bluetooth connection
- Select Assign on appropriate Printer
- Select checkbox for appropriate Profile
- Save
