PreBot - Bbot's Onboarding Helper
To begin the onboarding process, you will receive an email from Bbot inviting you to create a new account or log in to your existing account and complete all five steps of the onboarding process.
If you do not already have an account, follow the link in the email andclick on 'Create A New Account', as shown below.
In the popup window, enter your email address, first and last name, a unique 4-digit PIN, and a unique password. The 4-digit pin will allow you to log into the Bbot Terminal, along with your email and password. After you've created your account, you can log in and begin using PreBot.
Getting Started
The first step will be adding your billing information for your software subscription and any Bbot fees outlined in your contract. After completing all of the fields below, click 'Next Step'.
- Billing Email: The email address entered will receive invoices for Bbot and software subscription fees with a summary of the charges as well as the total amount due.
- Billing Method: You can either have fees paid via a credit/debit card or add a bank account to take out fees via ACH withdrawal.
- If you are adding a credit/debit card, enter the card number, expiration date, and the CVC and click 'Save Billing Method'.
- If you would like to add your bank account, click on 'Continue to Plaid' and follow the prompts to connect your bank account. If you opt to pay via ACH instead of a credit card, we highly recommend connecting with Plaid!
- If you are unable to connect your account via Plaid, you can enter your account information manually in the fields shown below.
* Note: Entering your bank account manually will send two micro-deposits to the account entered, and the amounts will need to be entered in PreBot to complete the verification process. Micro-deposits can take 3-5 days to arrive in your bank account, and this may slow your onboarding experience as a result.
- Once you've added either a credit/debit card or a bank account, click 'Save'.
You will also need to create a Stripe Express account and connect your bank account to receive transfers from Bbot for guest credit card transactions. To create a new Stripe account, click 'Continue to Stripe'.
You can also invite staff members by copying and sending the unique PreBot link. Once staff members have been added via the link, they can complete steps in PreBot and will be added as admin with owner-level permissions in your Bbot account once onboarding is complete.
Add Contact Info
Please fill in all the following fields to make sure Bbot or guests can contact you if needed.
- Primary Contact Information - This will be the main contact for implementing Bbot, and for any questions about the usage of Bbot for your location.
- IT Contact Info - This is the primary contact for any hardware or network-related issues.
- Venue Email/Phone Number - This information will be displayed to guests on their receipts. It will also be used by delivery integration partners to contact your location and to pick up delivery orders.
- Physical Address - The physical address of your location, which will be displayed on your ordering page.
- Mailing Address - If this is different than your physical address, you can enter the address for any mailed correspondence. If it is not a different location, you can click 'Same as Physical Address' to copy and paste the physical address.
After completing all fields, click the 'Save' button and 'Next Step' to proceed.
Service Operations
In this section, you will need to select which options you have available for your location Takeout, Delivery, Dine-in, or Counter Service.
Click the slider next to each Service Model you offer to enable it. If you offer Dine-in service, you can upload a floor plan image with all seats, dining areas, and hotel rooms; this will help your Account Manager to create all necessary Location Codes to allow your guests to place orders.
Once you've selected all Service Models you'd like to offer, you can click 'Save & Continue' to move forward.
Add Menus
Set Tax rate - The tax rate entered here will apply to all new menu items added in the Owner Panel. If you are integrating Bbot with your POS, this is not required. When your POS is integrated with Bbot, the menus and tax rates will be pulled from what is currently configured in your POS system.
Add Menus - Enter the menu name and a link to a PDF or upload an image of the menu, as well as the menu hours, and click 'Save Menu'.
Site Customization
To add images for your menu and ordering page, click the upload button for each logo.
- Landing Page Logo - The Landing Page Logo will appear in the top left corner of the screen when your guest first navigates to your Bbot page.
- Desktop Background - This image will be displayed for guests on the landing page for your ordering site using a browser on a desktop computer.
- Mobile Background - This image will be displayed for guests on the landing page viewing your ordering site on a mobile device.
- Desktop Banner - This image is displayed on the desktop computer version of your ordering site.
- Mobile Banner - This is the background image displayed on the mobile device version of your ordering site
Once you've completed all steps, click 'Next Step', and you'll receive a pop-up window congratulating you on completing your Bbot onboarding. To exit, click 'Continue to Owner Portal'
