Zapier Integration

Zapier is a tool that helps you automate repetitive tasks between two or more apps—no coding necessary. When an event happens in one app, Zapier can tell another app to perform (or do) a particular action. This can be used to move data in Bbot to another platform through the Zapier integration or perform automated actions for marketing campaigns.

Connecting The Zapier Integration

To turn the integration on, go to your Owner Panel and navigate to the Bbot App Store.

Navigate to the Zapier button and click 'Connect Zapier' to connect the integration.

You'll be presented with a pop-up window where you can select the specific triggering events to use, either 'New Orders', 'Status Changes', or 'Refunds'.

New Orders - When selected, this will send a notification for any new orders that are created

Status Changes - Sends a trigger for any order status update. For example, when an employee moves an item from ‘waiting’ to ‘accepted by staff’

Refunds - Sends a trigger for any full or partial refund. The ‘total’ listed will be the order’s post-refund total, not the amount of the refund 

Clicking 'Manage your zaps' will direct to the Zapier main page where you will either need to log in with your current account or create a new one. Once you've signed in, you'll be taken to your account screen where you can create new automation, or Zaps, by clicking the 'Create Zap'

What Is A Zap? 

A Zap is an automated workflow that connects your apps and services together. Each Zap consists of a trigger and one or more actions. When you turn your Zap on, it will run the action steps every time the trigger event occurs. To begin creating a Zap, search for 'Bbot' under the 'App Event' search field. 

Once you've clicked 'Bbot' in the dropdown menu, In the 'Trigger Event' dropdown, select either 'Orders' (triggers when a new order is received) or 'Real-Time Orders' (triggers when a new order is created). 

  • Triggers when a new order is received - When a new order comes into Bbot, it will initiate the automation you've created for the specific task you're wanting to accomplish.
  • Triggers when a new order is sent - When a new Bbot order is injected into a POS, it will initiate the automation that you've created.

Once you've selected the trigger, click the continue button to proceed with creating the Zap. If this is your time using Zapier, you'll need to sign in to your Bbot account by clicking 'Sign in to Bbot'. 

A new window will open where you will need to approve Zapier connecting to your Bbot account. Once you click 'Approve', the window will close and you will be directed back to Zapier. 

After you've connected your account, you will be taken back to the Zapier page where you are able to continue with creating the Zap by clicking the 'Continue'. 

You'll then need to perform a test on the triggering event to verify the correct account is connected is able to access information from Bbot. To perform the test, simply click 'Test trigger' and Zapier will attempt to pull order information from the most recent order.

After the test is completed, you will see the screen below advising that the order information was successfully pulled from Bbot into Zapier as well as all of the order information. 

If you would like to pull the information from a different order, you can click the drop-down menu above the search bar which will show all recent orders. When you selected the order you would like to use, click the 'Continue' button to move forward with the Zap. 

After you've entered the parameters for the automation, click the 'Continue' button to complete the Zap creation. You will then need to select the app that you would like the order information sent to. You are also able to select specific actions on the right to apply to the Zap, as shown below.

You will then need to select the action that will take place once the order information is sent into the application that you selected. For example, using MailChimp you can have customers automatically signed up for marketing emails when order information is sent through Zapier.

Once you've selected the Action Event, click the continue button. You will then need to sign in to your account to connect to move forward with the Zap. After your account is connected, you will need to enter all of the relevant information; for our Zap to send out marketing emails, we will need to enter all of the fields below. 

Once you've entered in all of the necessary information, you are able to test the Zap and update any information that's been entered incorrectly or you can skip the test and continue. 

After you've finished the test, you'll be able to click 'Turn On Zap' to finish your Zap. 

Once the Zap has been turned on, you'll be taken to a summary of the Zap where you are able to share a link to your Zap, make any adjustments, or turn your Zap off. You are also able to delete a step in the Zap by clicking the 3 dots on the action, as shown below.

If you would like to remove the Zapier integration, click 'Disconnect' on the Bbot App Store.  

After clicking 'Disconnect', a dialogue box will be displayed advising Zapier's access to your data will be revoked once it is disconnected.
